SSSCC Meeting Minutes September 14, 2005
The meeting started at about 6:10pm at Round Table Pizza in Pasco. There were about 15 people in attendance and we had at least one new face at the meeting (he drives a modified 1990 Civic!).
TREASURERS REPORT
Bob did a treasurers report that stated we currently have about $11,000 worth of cash. The only expense not reflected in that is the cost of the timing display board and related peripherals.
TIMING SYSTEM REPORT
Mitch and Lynn gave a brief timing system report. JACircuits somehow did not receive the order for the new timing display board, so Bob stopped payment on the check and placed the order again.
Lynn mentioned that the Remote Terminal function of the timing software is still in development by the software maker. It is expected to be available well in advance of next season, but no specific guarantees as yet. Lynn will continue to work on this.
CONE VAN REPORT
Gene Wattenburger talked about the van purchase and all that has been done to it recently. Again, many thanks to Gene Wattenburger and Allen Hare for all the work they have done on our new van. It looks and drives great!! We discussed trying to get Autobahn to do a complete fluid change for us. Bob said he would approach them about it. Lynn suggested that we offer them a recurrent club sponsorship in return for annual fluid changes. (Roughly a $200 retail value service) We also discussed the idea of putting our logo as well as our sponsor's logos on the van before next season. We generally agreed to display stuff in some way, but the specifics are yet to be worked out. Also we are looking into the best way to insure the van. Thanks to Linda Fleming for suggesting we only insure the van when it gets moved (about $8/month for full coverage) Bob and Gene are working out the details along with renewing the tabs, which expire this month.
NOVICE AWARDS
Lynn mentioned that we have received the Novice awards that were missing at our previous events. We also have the awards for the upcoming events as well. We discussed mailing the awards to the appropriate people and decided to instead, wait till after the next events and then figure out who still hasn't received them and handle it all at once for the season.
PRE-REGISTRATION
We discussed the participation levels at our recent events compared to the pre-registration levels we've seen and mentioned the idea of offering a discount for pre-registration next season. The group was mixed on this topic. More discussion will be needed in the off-season.
WEBSITE UPDATE
Mitch provided some screen shots of some design ideas for our new website.
He explained that the web designer for PS Media has been doing all the design work and will update the site in the future. Further discussion will proceed thru the off-season on this topic.
APPAREL
Kathy Orr volunteered to design a t-shirt for the club to sell. An example design was passed around and well received. She will put together a design and cost estimate, and propose it to the club sometime before next season. Thanks to Katy Orr for volunteering to take on this project!
NEXT EVENTS - ENDURO
Lynn discussed the Enduro and answered specific questions about the format. It was strongly encouraged that everyone pre-register immediately since registration has been capped at 85 for this event. Registration is already over 30, so spread the word to everyone to get signed up if you want to attend. Ideal turnout will be between 65 and 75, which looks very possible based on feedback.
COURSE DESIGN COMMITTEE REPORT
Lynn showed everyone the course design for Saturday/Sunday. It will be faster and less technical than September's courses.

Bob agreed to barbeque again for everyone. Thanks Bob!

BANQUET
We discussed the banquet and set the date for Saturday November 12th, 6:00pm at Tony Roma's. Details are being worked out currently. We discussed the possibility of purchasing a "big ticket item" available as a prize. The idea of raffling tickets for such a prize was raised. The consensus was that raffles are for fund raising and we don't need to fund raise right now. No decisions were made about a big item, but the group was interested in the idea and generally inclined to support it. Other spin off ideas were mentioned such as setting up some kind of scholarship fund that someone could win that would send that person to the Packwood National Tour event and cover related expenses. Again, the concept was generally supported but no decisions were made.
COMMON CAR CHALLANGE
Finally, Lynn announced his desire to plan, organize, and host a common car challenge autocross which any 2005 or 2006 officer or chief could participate in. It will be held sometime in March with more info to come as it is developed. The general feedback was positive.
WINTER SERIES
With Lynn Rogers potentially becoming our new club president next year, he felt he wouldn't have the time to put on the Winter Series again. So the club is looking for a volunteer to take the lead on this. The initial idea is for at least 3 events. Possibly a single day in February and a two-day in March. One of the March events would be the Common Car Challenge. If you're interested, your responsibilities would include:
- Contact the Tri-Cities Dust Devils and Tri-Cities Youth Soccer Association to determine dates that don't conflict.
- Publicize the events via normal club channels
- Find a volunteer course designer and getting his/her designs approved by the SSSCC Course Design Committee
- Contact all the Chiefs and confirm that they can work/attend the events, and/or find replacement Chiefs.
- Contact Gene Wattenburger (Chief of Trailer) to have the van/trailer moved to the site
- Organize a setup crew to set the course
- Arrange for awards (paper or ???)
Of course all the club officers will provide any information and help that you would need. Please contact Mitch or Lynn if you're interested. It's not a lot of work, but if no one steps up to take on this responsibility, we probably won't have a Winter Series in 2006.
