SSSCC March Club Meeting Minutes
March 8, 2006
Meeting opened by President Lynn Rogers at 6:00pm. 24 members and participants in attendance.
Old Business
Van Graphics - Mitch and Gene introduced a picture of a simple design choice of graphics for the van with the club initials in large letters and a cone at the top and below that the graphics from each of our sponsors. Discussion broke out with options for more detailed designs which had been mentioned previously. The cost of the more detailed designs runs near $1,000. Mitch brought up for consideration that the clubs goals for the graphics are to identify the van with the club and for advertisement of club and sponsors. The van is parked at Gene’s house between events and only driven to events which gives only limited exposure of the club and our sponsors. If the club decides to spend that much money for advertising purposes it would be an option to choose an avenue with much wider exposure such as on the side of a Dial-A-Ride van. Another graphic option is to use die cut letters you peel off and stick on the van. Jason Miller offered to do this for his cost which! makes this a more affordable option. The use of the official club logo, the red/white/blue car one was suggested as another option. When it came to a vote it was all hands up for letting Jason work with Mitch and Gene and come up with a respectable and affordable graphic choice.
The case for the Display Board and peripherals arrived and was used at first winter heat. Everything fits in snug and works great. Thanks to Bob for all his efforts on that project.
Van and Trailer Optimization – Everything seems okay. New storage solutions worked well. Still considering the purchase of a heavier duty lock for trailer and a hitch lock. Greg Swank suggested to go ahead with purchasing heavier power supply cables just for safety so Lynn will price them and purchase.
Van and Trailer Maintenance – Gene painted the stripe on the Trailer black. Can’t wait to see it! Gene will be contacting Autobahn to proceed with the transmission filter change on the van before the Packwood trip.
Van Ownership and Insurance – the van is now owned by the club itself. Lynn will turn in paperwork and then insurance will be purchased for liability immediately. The best quote is still Allstate for $608 a year for $75,000 liability coverage (state required minimum).
Property Insurance – to be investigated and quoted at time of vehicle insurance.
Successful February events. Very cold!!! Turnout in the mid 40’s each day. No major problems. Only concerns were the car that ran 3 co-drivers all in one run group. General opinion was to separate them between 2 run groups. The other concern was drivers who arrive late not walking the course and getting lost or going the wrong way on course bringing up safety issues. Possible solution is to offer a ride along for first run to help guide through course so safety is maintained.
Display Board worked as expected, a really nice addition to the club. PA System worked as expected as well, sounded much nicer than old horn. Great projection across the entire site.
Registration issues occurred with Label printer. Problems have been resolved and are expected to not return.
New awards were met with approval. Need some way to organize and contain stickers. Lynn purchased a organizer for this purpose.
Need protected/padded bin for storage of laser printer. Not an emergency until next off season, but would be helpful before hand. Probably just Rubbermaid with foam like other electronics are in. Lynn is keeping printer at his house for now as he can use it for club print outs and it will stay nice and warm and won’t bail out on us at next event.
Treasurer’s Report- the club spent all the accumulated monies from last year. After first winter heat series the balance is back up to $2,880. Our fixed assets include $8,000 in equipment; $3,500 in computers; $3,000 in van.
VP Report- The March, April and May events are in My Auto Events (MAE) and Mark is working on the completion of the entire season up in MAE. Good work Mark.
New Business
Event Pre-registration open for March, April, and May. Please spread the word that pre-registration is very helpful and strongly encouraged.
To ensure all officers and chiefs are available and in attendance for April 22 event at Packwood, Lynn suggested the club offer to cover a portion of the Friday night, April 21st, lodging costs for the officers and chiefs. The proposed amount of coverage was $500. Vote was taken and agreed to provide club funds in this amount for this purpose. People should make their own reservations (preferably at the Crest Trail Lodge). Club will either pay the hotel or will reimburse individuals as required. People are encouraged to group up to make the savings spread as far as possible. Greg will bring his generator to this event for power source. Gene will be staying in his trailer on the grounds overnight to keep watch over club property.
Club T-shirt design - Kathy Orr obtained some suggestions for club T-shirt designs including club logos and catchy phrases related to racing. Atomic printing selected as printer as club is already using them for other services and no one had a preference of another printer.
Lynn proposed the purchase of more cones to replace ones that didn’t survive the cold weather at the first winter series. 100 new cones, 10 of which would be the green ones, thought to be adequate for replacement and additional for cone happy course designers.

We are still seeking additional sponsorships (including Title Sponsor) to any business interested. Anyone can become a sponsor. We can have as many sponsors as we want. We would like a title sponsor, but it is not required.
Minor Sponsor – Business logo on club website, Business logo on course maps and other club produced flyers, Business name mentioned during club meetings and event meetings, Business logo displayed on sides of club van (Sponsor to provide magnetic logos up to 12” x 18”). Cost: $200 Plus magnetic graphics.

Larger and more prominent magnetic logo on sides of van (Sponsor to provide magnetic logos up to 24” x 30”). Cost: $500 Plus magnetic graphics.
